WORKSHOP TRAVEL GUIDELINES
FOR NASA-FUNDED PRINCIPAL INVESTIGATORS

In order to adhere to the travel budget for this Workshop, the Workshop travel agency will coordinate all prepaid travel reservations. Once USRA has received the investigator-submitted travel agreement form, the agency will send the investigator a preliminary travel itinerary in accordance with the Workshop Travel Guidelines. The itinerary will include airline and hotel reservations. Investigators need not contact the Workshop travel agency in advance.

When the investigator accepts the preliminary itinerary, the Workshop travel agency will generate a prepaid electronic ticket and secure hotel reservations. The deadline to secure prepaid airline tickets and hotel reservations is December 20, 2004. Prepaid airline tickets and lodging will not be available after this date. Airline tickets will be non-refundable, non-changeable; therefore, cancellation or change fees cannot be paid or reimbursed by USRA.

If the investigator declines the offered itinerary, all reservations will be cancelled with the understanding that the traveler will personally secure both airline and hotel arrangements. The investigator will be reimbursed by USRA for an amount not to exceed the quoted airfare on the preliminary travel itinerary generated by the Workshop travel agency.

AIRLINE:

Flights will be secured for the most direct route available at the lowest available airfare and may include up to one stop. Travel days and times are to coincide with the Workshop Schedule:

Departure date - Wednesday, January 12 (11 am – 3 pm)

USRA has secured a block of rooms under “USRA/BIO 2005” at the special workshop rate of $95 per night (plus tax). This rate will be available only until December 20, 2004.

GROUND TRANSPORTATION:

Airport Shuttle Schedule

USRA has arranged for shuttle service between both Bush Intercontinental and Hobby Airports to and from the Moody Gardens Hotel. Workshop attendees receiving travel assistance are required to use the shuttle service. Shuttle vans will run every hour on designated travel days only:
