18th Annual
NASA Space Radiation Investigators' Workshop
July 13 15, 2007
DoubleTree Hotel Sonoma
Rohnert Park, California
PRESENTER INFORMATION
ORAL TALKS:
A PC laptop and LCD projector will be available for each session.
We request that personal laptops not be plugged into the projectors in the meeting rooms. In order to facilitate a smooth transition between speakers, we plan to preload and test all presentations in advance. Therefore, we ask that you provide us your PowerPoint presentation on CD-ROM or flash drive upon your arrival at the workshop.
POSTER PRESENTATIONS:
Posters must fit within an area of 44”" x 44". Unfortunately, we will not be able to offer skirted tables, electrical outlets, and extension cords to poster presenters. We will provide pushpins and Velcro tabs for the boards.
Each presenter should stand by his/her poster during the poster session. Posters may be hung beginning Friday morning, July 13 and must be removed after the Saturday evening poster session, as the boards will be removed early on Sunday morning, July 15, 2007.
Poster sessions will be arranged by discipline grouping, with approximately half in each group to be presented on Friday evening and half on Saturday evening. Please consult the preliminary program for the schedule.
ONLINE PUBLICATIONS:
Abstracts will be published in an online volume immediately prior to the Workshop. Proceedings will include the abstracts and presentations and will be published online following the Workshop.
ABSTRACTS
Follow this link to the online Abstract Submission Form. The deadline for abstract submission is
May 10, 2007.
General Instructions
Abstracts shall be formatted to fit on 8.5" x 11" paper with 1" margins on all sides. Abstracts can be no longer than one single-spaced page; up to two additional pages of supporting material, such as charts, graphs, text, and figures, may accompany the abstract. The font should be 10 point Times New Roman. The abstract title should be bold and centered at the top of the page. The names of all authors should be in caps and lower case, followed by their addresses in caps and lower case. Both author names and addresses should be centered. First level titles should be all caps; second level titles should be caps and lower case. Please refer to the template for exact placement.
The abstract file MUST include the title, authors, and affiliations. That information will NOT be extracted from the electronic submission form.
PDF File Submission
We ask that you submit your abstract file in PDF format. This will give you more control over the quality of your published abstract. Be sure to set your preferences to embed the fonts in the document. If you are unable to comply with this request to submit your abstract file in PDF format, please call Kay Nute at 281-244-2019 or e-mail info@dsls.usra.edu for further information.
Abstract Template
Download the sample abstract and using the format illustrated in the sample, prepare your abstract for submission. YOU are responsible for the formatting and appearance of your abstract. Figures and tables must be in digital format and placed in the file. We recommend that you use image file formats that provide acceptable resolution without being overly large; i.e., please use a 700 KB GIF file rather than a 2-MB TIFF file. Hard copy line drawings AND photographs can be easily converted to high quality digital format using ordinary flatbed scanners and accompanying software.
Paper Size
Please set up your source file so that your submitted abstract is formatted for U.S. letter size (8.5 by 11 inches.)
Fonts
Please use Times New Roman for text; Symbol for mathematical symbols and Greek letters.
Submitting Your Abstract
After you have prepared and formatted the file containing your abstract, you are ready to submit it. Your file MUST be on the same machine as your Web browser, and you cannot leave the file open or the data will not transfer successfully. Go to the electronic abstract submission form and follow the instructions. Once you have completed the form and have clicked the "Send" button, the system will respond with a screen that informs you that your abstract has been successfully submitted and assigns you an abstract number. Please refer to this abstract number in any correspondence with us regarding your abstract. If you don't see the confirmation screen within a reasonable amount of time (no more than 10 minutes), or if you have any questions or need further assistance, please call 281-244-2019, or send an e-mail message to info@dsls.usra.edu.
Please proof your abstract file VERY carefully before submitting it. If there are any technical problems with the content of your abstract, our staff will try to contact you immediately. Therefore, please provide us with up-to-date contact information on the submission form. If you know you will be unavailable to answer possible questions regarding your submission, please give us (in the comments box on the abstract submission form) the name and address information of an alternate contact.
